Spring Living Retirement Communities (springliving.ca) owns and operates 14 retirement communities in Ontario and Quebec and has an ambitious strategy to continue to grow the portfolio through acquisition of mid-market retirement residences across Canada over the next 3-5 years. Spring Living is the Retirement Community platform of Marlin Spring, a Real Estate company that strategically acquires, develops, constructs and repositions assets throughout North America.

JOB OVERVIEW

REPORTS TO:

VP of Operations / Director of Sales and Marketing

We have a unique, rewarding and challenging leadership position for the right individual that understands Operations but also loves the Sales Process. The Executive Director / Sales Consultant is responsible for the overall operation of the retirement residence including resident care, programs, services, environmental coordination and fiscal performance. Creates and operates a retirement residence where the residents enjoy a lifestyle and quality of life exceeding their expectations. Maintains a safe and secure environment for residents, visitors and other staff members. Responsible for the leasing of the rental suites to maintain optimal occupancy levels in the retirement residence. Assists in maintaining a safe and secure environment for residents, visitors and other staff members. All duties are performed in the best interest of the residents and their families, and in accordance with Spring Living’s vision, mission and values statements. This position has a base salary but also an enhanced commission structure based on meeting sales objectives.

ROLES AND RESPONSIBILITIES

Resident Relations:

o Responsible for ensuring a safe, secure environment for all residents. Complies with all levels of legislation.

o Oversees all aspects of operational programs to ensure that the programs and property consistently meet Spring Living’s expectations for a successful and profitable retirement residence, while ensuring the well-being and comfort of residents’ remains of prime importance.

o Ensures quality care and services are provided to residents. Monitors quality of care and services, reporting, planning, organizing, implementing and evaluating remedial action and improvement plans (as required).

o Ensures the provision of meals for all residents utilizing the food plan provided. Ensures all Public Health regulations are maintained in relation to food storage, handling and preparation.

o Ensures the planning, implementation and evaluation of a recreation program to meet the identified needs of the residents.

o Responds to resident or family members concerns and ensures appropriate action is taken within decision-making authority and/or brings to the attention of the VP of Operations.

o Ensures a smooth transition to the residence by supporting the transfer of the relationship to other members of the management/leadership team.

o Responds to resident or family member concerns and ensures appropriate action is taken.

Leadership:

o Develops creative and innovative programs and policies for the recruitment and retention of all categories of staff. Plans, implements and evaluates orientation and education programs for all staff. Provides leadership and motivation to ensure staff works to meet the goals of the residence while enjoying job satisfaction.

o Represents Management at regular council meetings as required, reviews minutes, responds to requests.

o Provides leadership direction and training of the sales process to the management/leadership team.

o As an integral member of the management/leadership team, participates in strategic planning and decision-making.

o Provides support to other team members.

o Runs and participates in weekly management/leadership meeting to provide updates regarding sales trends, new prospects, marketing events, and other related information.

Budget & Financial:

o Assists with the preparation of the operating and capital budgets and receives budget approval from Corporate Office. Prepares monthly variance report, and submits with financial paperwork to Corporate Office for review.

o Adheres to budget and salary administration policies and practices for all staff members. Reports salary changes to the Payroll Department as required.

o Implements, evaluates and controls payroll information practices for the residence ensuring that policies are administered fairly and interpreted correctly by all staff.

o Implements, controls and evaluates Petty Cash funds for the residence. Maintains records as per Company policy and procedure and submits petty cash vouchers to Corporate Office on a monthly basis.

o Provides Corporate Office with required documents on a timely basis, including reports or letters with any municipal officials (e.g. health inspections, fire reports, RHRA, building inspections or any matter as deemed the responsibility of the parent company).

o Responsible for residence and equipment maintenance, including evaluating plans, organizing and controlling repair and replacement requirements. Ensures all capital purchases are budgeted and approved by the VP of Operations.

o Forecasts, monitors, and reports expenditures from funds allocated to the marketing budget.

Marketing & Occupancy:

o Responsible for the implementation of corporate sales programs to attract and retain residents Effectively communicates and interacts with residents, family members, visitors and volunteers

o in a courteous and professional manner.

o Works with the Director of Sales on strategic sales plans and Business Integration.

Marketing & Occupancy Sales:

o Conducts personal visits, provides information to the general public and community organizations, and follows up on leads in a timely manner.

o Leverages Spring Living’s consultative sales process “Value Match” to help seniors and adult children make informed decisions when choosing a retirement residence. Successfully executes the Spring Living Value Match sales process.

o Manages telephone inquiries and converts to personal visit bookings.

o Tracks sales activity in CRM database and analyzes reports to identify sales trends specific to the community and residence.

o Leases the rental units in the retirement residence.

o Meets established residence-specific sales targets.

o Identifies sales trends specific to the community and residence.

o Drives referrals and traffic. Creates, retains and grows a portfolio of strategic networking

partnerships with the local healthcare community and within the community at large. Builds a

qualified lead database.

o Develops, promotes and implements marketing plans to ensure optimal occupancy is achieved

in the residence.

o Develops a marketing strategy and prepares advertising campaigns. Develops new vehicles for

advertising.

o Develops and fosters partnerships within the community.

o Establishes and maintains relationships with community influences to promote and encourage

referral-based traffic.

o Encourages outside groups to use the residence for marketing purposes.

o Researches and maintains competitive analysis.

o Shares information and participates in marketing committees to develop and implement best practices throughout the organization.

Regulatory Compliance:

o Conducts duties in accordance with Spring Living policies and procedures, as well as, government regulations, laws and policies.

o Understands and follows all health and safety policies and procedures. Works safely to reduce the risk of injury to self, other staff members and residents. Promptly reports all actual or potentially hazardous situations. Submits required reports to the Joint Health & Safety Committee, staff, managers, and Corporate Office on a regular basis.

o Maintains confidentiality of information relating to residents, family members, prospective residents, other staff members and Spring Living Retirement Residences.

Operational & Administrative Systems:

o Plans, organizes, implements, controls and evaluates staffing schedules for the residence. Reports the number of paid staff hours to Corporate Office on a weekly basis. Reports changes and/or problems with scheduling.

o Develops interview skills to ensure acceptable interviewing and hiring practices. Obtains senior management approval prior to hiring managers and ensures that all staff receives exit interviews.

o Acts as a counselor to staff in the area of human resources and reports any difficulties to the VP of Operations and Director of People.

o Plans, organizes and implements performance appraisals for all residence staff (annually or as required). Assists staff members in performance and career development activities including, goal setting and skill development.

o Understands policies, procedures and legislation relating to staff disciplinary matters within the residence. Is familiar with the terms of the collective agreements (if applicable) and has primary responsibility employee disciplinary actions.

o Reports all disciplinary actions, including suspensions and terminations, to the VP of Operations and Director of People.

o Prepares Residency Agreements and maintains pertinent records (as required).

o Prepares relevant management reports and records.

Other:

o In conjunction with company-wide initiatives, plans, organizes, evaluates and controls the inventory of residence supplies and equipment. Ensures sufficient inventory levels are in place to ensure the efficient and effective operation of the residence.

o Ensures compliance with IPAC and infection control procedures.

o Responsible for all residence maintenance requirements. Consults with the Vice President, Operations for major repairs.

o Interprets and implements current policies and procedures. Participates in the development of residence-specific policies and procedures, and obtains Corporate Office approval prior to implementation.

o Actively pursues formal and informal continuing education for both the maintenance and upgrading of her/his professional and managerial confidence.

o Applies their knowledge of current relevant legislation to meet professional and managerial responsibilities.

o Demonstrates accountability for their actions.

o Attends sales training as required.

o Performs other related duties as required.

QUALIFICATIONS

o Minimum of two years’ relevant experience in the retirement or hospitality industry.

o Experience in progressively responsible roles with demonstrated leadership, interpersonal, marketing and financial planning skills.

o Graduate of a post secondary certificate/diploma or degree program in nursing, social work, gerontology, hospitality or business.

o Demonstrated effective communication (written and verbal) and leadership skills.

o Self directed, accountable and effective problem solver.

o Wears personal protective equipment (or clothing) as required by task, MSDS, or residence policy.

o Must be prepared to respond to emergency situations.

o Criminal Records Check and Vulnerable Persons Check required.

o Experience in generating sales relationships.

o Experience in marketing and/or customer service.

o Strong prospecting and closing skills.

o Ability to successfully follow an established sales process, including closing sales transactions.

o Ability to plan, organize, and execute marketing plans and programs.

o Creative thinker within program boundaries.

o Empathetic and caring interpersonal customer service skills.

o Ability to multi-task, network and promote services.

o Results focused in a pro-active busy environment.

o Effective communication skills (written and verbal).

o Knowledge of the community and surrounding areas.

o Computer literate with knowledge of related software programs.

o Must be available for flexible hours due to the requirement to respond to optimal periods of sales traffic.

o Valid provincial driver’s licence required and access to a vehicle.
